Scope of Work Denial

It is critical that Sales Representatives provide as much detail as possible in the denial notes when denying SOWs so that Freedom Forever can action the project appropriately. When clear direction is provided, Freedom Forever will re-work the SOW and move the project forward. In the absence of clear direction, Freedom Forever will progress the project and build it according to the SOW presented.

If the change needed is related to equipment, production, pricing, or adders on contract, it is suggested that Sales Representatives submit a change order themselves and references that change order in the denial notes. In this scenario, the Sales Representative will have 24 hours from the time the SOW was presented to get the change order signed. Once 24 hours elapses, a ticket will be opened and the project will move to Holding until the ticket is resolved, either by signing the change order or approving the SOW as presented.

Once the change order is signed, the SOW will be re-worked and once again presented for approval.

Denials are not necessary for pricing issues.   SOW Confirm is approval of the design, equipment and scope of additional prep work only.

Sales Representatives will still be presented with pricing to review during SOW Confirm, however projects that only require pricing changes or adder adjustments will no longer sit in SOW Confirm or be moved to Holding. Since these changes can be made in parallel with plans and permitting, Freedom Forever will continue to move these projects forward while the Sales Representative works to clarify adder-related questions/issues with Freedom’s team(s) or while they work with their customer to adjust contract pricing via a change order.

Revision fees cover the additional expenses to rework a project after a SOW has been built and confirmed. These expenses include Construction Engineering labor, engineering stamps, permitting costs, Permit Runner labor, and other similar costs. All revisions to projects after SOW Confirm that are not pricing changes will incur a revisions fee. The fee will be $1,000 once a permit is submitted and $500 prior to permit submission.

A contingent SOW is a SOW that is approvable once another document has been signed. In other words, they will be sent for approval but can only be moved forward to the Plans stage once the associated document is signed. Typically, the document needed will be a Roof Waiver or Change Order.
